Configure Project Groups

 

PURPOSE:

The Project groups are utilized to get a programatic view of Facilities Operations efforts.

BACKGROUND:

There is no out-of-the-box functionality in AiM related to Project Groups.  Because there is not functionality related to project groups it could be misleading that these groups require a Project Type and a Project Status.  Neither of these fields are used to enforce Project Type or Project Status.  As a result a place holder Project Type, UCONN,  was created specifically to support Project Groups.  A place holder Project Status, GROUPING,  was created specifically to support Project Groups.

Project Group Notes: 

  • When Defining a new project group always pick type=UCONN and status= GROUPING
  • When Defining a new project group always remember to set the UDF, Project Bucket.
  • If a particular Project Group can be both Alterations and Renovations and Renewals and Replacements, create two project groups.  The first should have a suffix ‘-A’ and the second should have a suffix ‘-R’ to reflect  Alterations and Renovations (-A) OR Renewals and Replacements (-R)

HAZMAT Projects related to environmental remediation, such as mold, lead, asbestos, PCBs and silica dust. GROUPING UCONN RR NO
INFRASTRUCTURE Projects related to the maintenance, repair and/or replacement of utilities, such as steam, water or other underground systems. GROUPING UCONN RR NO
LIFE SAFETY Projects related to the maintenance, repair and/or replacement of life safety systems, such as fire panels and sprinkler systems. GROUPING UCONN RR NO
PHYSICAL SEC Projects related to the maintenance, repair and/or replacement of locks, building security and cameras. GROUPING UCONN RR NO
MEP Projects related to the maintenance, repair and/or replacement of mechanical (HVAC and EMS), electrical and plumbing systems in a building. GROUPING UCONN RR NO
PARKING Projects related to maintenance, repair and/or replacement of parking garages or lots. GROUPING UCONN RR NO
REFURBISHMENT Projects related to refurbishment of rooms or buildings due to needed programmatic or aesthetic improvements. GROUPING UCONN AR NO
RENOVATION Projects related to the renovation of classrooms, offices, bathrooms and labs. GROUPING UCONN AR NO
ENERGY CONSERVE Projects related to energy conservation, such as conversion to LED lighting or metering. GROUPING UCONN RR NO

 

 

PROCEDURE:

1. Navigate to the Project Management module on the main menu.
2. Navigate to the Project Management screen and click the link to Project Groups
3. To look at existing project groups you can select Browse or use the search function to refine search.  When adding select New.
4. Enter Project Group name and description.

 

5, Set Enforce Distribution  to No; Set Project Type to UConn.  This should cause the Project Group Status to set by default to Grouping.

6. Click on User Defined Fields
7. Set the Project Bucket to either AR or RR
 

 

 

 


ROLES USED:

 

The System Administrator is responsible for managing and overseeing the Project Management module its configuration and functionality.
