Create a Work Order within a Maintenance Project in AiM

The instructions here are designed for individuals who are familiar with the AIM Environment. This includes logging in to AIM, WorkDesk, icons, menus, search screens, working with data, and entry screens. If you are new to AiM please refer to the documentation explaining these foundational AiM concepts or go to your supervisor and request training. 

 

PURPOSE:

AiM Maintenance Projects are made up of AiM Work Orders that are used to consistently track the scope of work, schedules and costs.  Project can have one or many work orders depending on the scope, complexity and reporting requirements related to the project

How to:

Before creating a work order for the project it is recommended you look up the organization and netid of the requestor.

It is recommended you look up the building and/or property id(s).  There is a helpful building lookup tool  available here

Navigate to the Work Management Module of AiM

 

A Work Order Number will be auto-assigned.

Complete the following data entry items:

  • Organization
  • Requestor Netid
  • Contact, Contact Phone and Contact Email (this can be updated if you prefer the Project Manager be contacted instead of the requestor)
  • Region (always CT)
  • Campus
  • Property (if more than one building is included in the project create a work order for each building)
  • For type and category please refer to the Work Management SOPs
  • Set the Project equal to the corresponding project
  • Set the Status to OPEN
  • Click the Add button to create phases as necessary
Create at least one Phase assigned to the Shop overseeing the work. Usually you will set:

  • The Priority to 5
  • The funding method to Project
  • The work code to Admin
  • The Status to Open

If you want to track the budget at the phase level, set that here.

If you are using a Service Contract set that now.  If you are using more than one Service Contract you will create an individual phase for each contract.

ROLES USED:

Project Managers are responsible for managing and overseeing the information in the Project Management Work Orders.
The Business Office assists project managers in maintaining and overseeing the information in the Project Management Work Orders.
The Operations Management staff assists project managers and business office in maintaining and overseeing the information in the Project Management Work Orders in a manner consistent with the use of the Work Management system by other areas of the organization
